Job DescriptionClerical Specialist IIJob Description:Position Purpose: The Clerical Specialist II performs a variety of intermediate level clerical support duties that require learned office skills and knowledge of department processes. Duties may include data entry, assembling and organizing files, using word processing and spreadsheet tools to prepare basic reports and correspondence, receiving visitors, and providing information and instructions over the telephone or in person.- Provides general clerical support services to a department, team or program.- Performs a variety of specialized tasks in support of a process or function.- Processes incoming documents by stamping, scanning, and/or recording. Checks and verifies bills, receipts, invoices, forms, reports and other documents.- Enters and retrieves data from on-line, network or desktop computer systems following established formats.- Assembles materials and documents for contracts, decisions, or other processes.- Maintains files requiring classification using alpha and numeric filing systems.- Preserves the security of confidential documents and data.- Maintains records and process forms. Tracks information from paper based as well as electronic files and match data to correct records.- Distributes documents within the department and to other locations. Retrieves documents from files or archives. Scans, photocopies and distributes files and archives documentation.QualificationsEducation/Experience: High School diploma or General Education Degree (GED); vocational coursework or formal training in office skills and computer applications preferred.
