Position Summary:
We are currently seeking an Administrative and Marketing Assistant who will report to the Business Manager and Maintenance Division Manager. This non:exempt position is responsible for supporting the Maintenance Division by implementing and maintaining administrative systems, procedures, and policies and for supporting Marketing by creating and publishing content, attending trade:shows, and managing projects. Additionally, this position will be called on to assist with strategic planning, ad hoc projects, and reporting.

*Is tech savvy, quick to learn new software applications, and has experience implementing new software systems.
*Has at least two (2) years of professional experience (or internships) involving administrative support, clerical responsibilities, and reporting in excel.
*Ability to prioritize job responsibilities and thrive in a fast:paced environment
*Ability to work independently and manage multiple projects simultaneously
Responsibilities:
*Become a super user of our Landscape Management Software, Aspire LM.
*Train new hires and support Account Managers on Aspire Software.
*Supports administrative functions to ensure efficiency, customer service, and accountability.
*Maintains software systems and performs receptionist duties (e.g., customer calls, front desk, and deliveries);prepares, receives, and distributes messages.
*Conducts data entry; produces dispatches for service calls received; maintains project lists and updates customer contact files.
*Creates monthly email newsletters; revises and maintains databases (e.g., mailing lists, contact lists, client information)
*Creates marketing materials, sets up display booth and represents company at events
*Performs estimating takeoffs for maintenance and construction
*Assists with business development and lead generation
*Supports human resources and recruiting (job postings, new hire paperwork, employee identification, state and federal programs) and safety (e.g., MSDS, training, injuries).
*Processes job contracts (Aspire setup, scheduling, start sheets, record keeping, termination)
*Maintains cell phone account (purchases, returns, applications, address books, passwords, name assignments)
*Provides excellent service (e.g., accurate, complete, and timely) to clients, vendors, and company staff in courteous and efficient manner
